What we collect and why
The form requests your name, company, email, subject and a short description. Phone, role and any customer deadline or requirement are optional. We use these details to understand your request, respond and discuss possible work. Required fields are needed to process the form; direct contact is also available.
Basis for processing
Where you enquire about a service on your own behalf, necessary precontractual steps rely on GDPR Article 6(1)(b). For enquiries on behalf of a company and form security, processing relies on the legitimate interest in handling business communications and preventing abuse under Article 6(1)(f).
How information is handled
The server processes the request and sends it to EVOMIND by email. Hosting is provided through Linode/Akamai on a VPS in Frankfurt, Germany, and email through Zoho Mail. These providers may process data to deliver their services. Further details are available in the Linode/Akamai privacy statement and the Zoho privacy policy. Within EVOMIND, only Răzvan Enescu has access to enquiries. We do not publish messages or use this form for marketing subscriptions. We do not make solely automated decisions with legal effects on you.
Retention
Enquiries that do not result in a contract are retained in Zoho Mail for 6 months after the last discussion and then deleted. Enquiries that lead to a contract are subject to retention periods relating to that contract and legal obligations. EVOMIND does not maintain separate email archives. Pseudonymised technical records used to limit abuse and duplicates expire after 24 hours and are removed by the next scheduled cleanup; the site’s Apache logs are configured for daily rotation with 14 archives plus the current file. Automatic VPS backups follow the provider’s rotation cycle and may retain logs after deletion from the active system. Future manual snapshots have a retention limit of 30 days from creation.
Your rights and contact
Subject to the GDPR, you may request access, rectification, erasure, restriction or portability and object to processing based on legitimate interests. Use the contact email above. You may also complain to the Romanian supervisory authority, ANSPDCP.
Technical data and message content
The form uses temporary technical identifiers and cryptographic fingerprints to limit repeated submissions. A temporary confirmation may be kept in your browser tab session; it contains no name, email or message. This version includes no external analytics service or marketing cookies. Do not send passwords, employee personal data or confidential documents.
